We’re seeking a Transaction Coordinator who thrives in an independent but collaborative environment. Previous experience working at a title company or as a transaction coordinator is required.

You’ll manage 20-30 transactions at a time and play a pivotal role in guiding each deal to the finish line. This is not your average agent-to-agent coordination job — it requires strong communication, attention to detail, and the ability to solve problems in real time. Key Responsibilities

Transaction & Title Coordination

  • Manage the full lifecycle of off-market real estate transactions from beginning to close.
  • Gather seller documents required by title (e.g., Seller Info Sheets, affidavits, special disclosures).
  • Collaborate with title companies, review title commitments, and clear basic title issues.
  • Coordinate lien releases, payoffs, probate documents, and non-standard closings.

Seller Communication & Support

  • Serve as the seller’s main point of contact during the closing process.
  • Assist sellers in completing required forms in a timely manner, however necessary.
  • Proactively follow up with sellers to ensure timely submission of forms and signatures.
  • Assist sellers unfamiliar with real estate by explaining each step of the process clearly.
  • Schedule mobile notaries and document delivery when needed.

Coordinate Property Access & Showings

  • Coordinate lockbox placement and provide access instructions for one-time showings.
  • Manage showing schedules with internal teams and buyers.
  • Resolve access-related issues and minor logistical challenges.

Process Ownership & Problem Solving

  • Own your pipeline of 20–30+ active transactions.
  • Track deadlines, progress, and communication in your CRM or workflow tool.
  • Spot bottlenecks, suggest solutions, and escalate with actionable plans when necessary.
  • Work closely with acquisitions and dispositions teams to troubleshoot edge cases (e.g., heirship, liens, etc.).

Compensation:

$50,000 - $80,000 yearly

Responsibilities:
  • Arrange for and attend events regarding the closing process, including moving schedules
  • Support sales agents, clients, and other parties with escrow-related paperwork, such as appraisals, titles, and mortgage loans
  • Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance
  • Review all documentation and confirm each has the proper signatures and dates to complete the home sale process quickly and smoothly
Qualifications:
  • Background or knowledge of the real estate industry, transaction coordination, titles, and mortgages preferred
  • Must have excellent organizational skills and communication skills
  • High school diploma required; Associate’s degree preferred
  • Motivated to serve people and provide excellent customer service
  • You must be located within 30 miles of the office to be considered for the role
