SUMMARY Under the general supervision of the director, this position is responsible to perform technical administrative duties and act as the department's lead Administrative Assistant. Responsibilities include advanced clerical duties related to the operation of the City Marshal's Office in a lead capacity. Work is preformed within established department guidelines and policies but requires independent judgment and initiative. Employee must possess the ability to prioritize and schedule work, and the ability to work independently with minimal supervision.
ESSENTIAL RESPONSIBILITIES - Meets all essential responsibilities as an Administrative Technician.
- Ability to train others and adhere to departmental policies related to the administrative area.
- Ability to perform duties related to the purchasing such as processing Purchase Orders, Requisitions and Payment Vouchers.
- Ability to process and manage account requests for new hires.
- Ability to process salary change forms related to promotions.
- Ability to process separation documents.
- Maintains record retention and destruction procedures as well as schedules.
- Creates and maintains strong working relationships with multiple department and outside organizations.
- Maintains the departments personnel records.
- Assists the director with special projects, reports and other complex administrative tasks as assigned.
- Performs other duties as assigned.
M I NIMUM REQUIREMENTS High school diploma or equivalent, associate degree or higher preferred, and four years of increasingly responsible administrative experience. Relevant work experience, or equivalent combination of education and experience can be considered on a case-by-case basis. Must be able to type at a rate of 35 words per minute is preferred. Ability to complete clerical work involving a degree of independent judgement and requiring attention to accuracy.
KNOWLEDGE, SKILLS, AND ABILITIES - Ability to operate computers for data entry and word processing.
- Ability to operate highly technical computer applications
- Strong verbal and written communication skill.
- Ability to operate small office equipment, including copy machines or multi-line telephone systems.
