The Cardiology Office Manager is responsible for managing the daily administrative operations of a
cardiology practice, ensuring efficient workflow, high-quality patient care, and adherence to
healthcare regulations. This role involves supervising office staff, coordinating with healthcare
providers, managing and maintaining revenue cycle management processes, and maintaining a
patient-focused environment.

Key Responsibilities:

  • Supervise administrative and clinical staff, including recruitment, training, scheduling, and performance evaluations.
  • Oversee the office's day-to-day operations, ensuring efficient workflow and adherence to policies and procedures.
  • Ensure that patients receive high-quality care and that their needs are met promptly and professionally.
  • Oversee the patient experience from check-in to check-out, ensuring satisfaction and retention.
  • Serve as the primary point of contact between staff, healthcare providers, patients, and external partners.
  • Develop and execute marketing strategies to attract new patients and retain existing ones.
  • Collect and verify patient information, including insurance details, demographics, and contact information.
  • Confirm insurance eligibility and coverage before services are provided to ensure proper billing.
  • Accurately document and code all medical services and procedures performed using appropriate ICD-10, CPT, and HCPCS codes.
  • Identify and analyze reasons for claim denials or rejections.
  • Take corrective actions to appeal denied claims or resubmit corrected claims to maximize reimbursement.
  • Implement strategies to reduce the occurrence of denials.
  • Monitor and manage outstanding patient balances and aging accounts receivable.
  • Implement strategies to collect overdue payments from patients and payers.
  • Maintain communication with patients regarding their financial responsibilities and offer payment options if necessary.

Qualifications:

  • Education: High school diploma or equivalent.

Skills:

  • Strong leadership and team management abilities.
  • Excellent organizational and multitasking skills.
  • Proficient in revenue cycle management.
  • Proficiency in EHR, NextGen highly preferred
  • Ability and willingness to work flexible hours to meet patient care and administrative needs.
