Position Overview

The Event & Activation Logistics Coordinator at Mike's Amazing is responsible for managing all logistical aspects of event planning and execution. This role is crucial for someone who is highly organized and has meticulous attention to detail. The coordinator will handle bookings, schedule management, and ensure every event detail is carefully planned and executed. This position offers exciting opportunities to travel to and manage diverse activations including music festivals, sporting events, and culinary showcases along the East Coast – perfect for someone who loves variety and new experiences!

Key Responsibilities
  • Manage detailed calendars for event planning and execution to ensure all activities are synchronized
  • Coordinate all aspects of travel, hotel accommodations, and flights for team members and event assets
  • Oversee the setup, execution, and breakdown of events , ensuring timely delivery of materials and smooth operations
  • Ensure all event assets are accounted for and returned safely post-event
  • Document event feedback and provide detailed reports on event performance to help refine future events
  • Assist in vendor management and coordination for various event needs
  • Maintain organized documentation of all event logistics, contacts, and resources
  • Support budget tracking and expense management for events
  • Collaborate with Vice President, Corporate Chef, Social Media and Events Team members to align on event goals and execution

Qualifications
  • Strong organizational skills with a proven ability to manage multiple tasks and projects simultaneously
  • Excellent attention to detail and the ability to plan strategically and execute methodically
  • Effective communicator with the ability to work collaboratively with various internal and external teams
  • Experience with travel logistics, calendar management, and event planning preferred
  • Willingness to travel frequently and work flexible hours, including evenings and weekends
  • Proficiency with Microsoft Office suite, particularly Excel and Outlook for scheduling
  • Problem-solving mindset with the ability to adapt quickly to changing circumstances
  • Valid driver's license and comfort with travel along the East Coast
  • Experience in food, music, sports, or festival events is a plus

Work Environment
  • This position requires ON-SITE presence at our Saddle Brook, NJ office, Monday to Friday
  • FREQUENT TRAVEL is a major component of this role, with exciting opportunities to attend and manage events up and down the East Coast
