Smile Avenue Family Dentistry is excited to announce an opening for a dedicated Dental Office Manager at our well-established clinic. Please note, this job is not eligible for remote work and requires presence at our clinic location. 

As a Dental Office Manager, you will be at the heart of our daily operations, playing a key role in shaping a positive experience for both our staff and patients. Your leadership will ensure our office runs efficiently, supporting our mission to deliver outstanding dental services. 

Duties and Responsibilities

  • Lead, mentor, and support office staff to ensure high productivity and excellent patient service. 
  • Oversee daily administrative operations and coordinate patient schedules to optimize workflow and reduce wait times. 
  • Manage patient records and ensure compliance with privacy regulations and dental board standards. 
  • Develop and implement office policies and procedures to improve efficiency and manage office budget to maintain cost effectiveness. 
  • Maintain an inventory of office supplies and dental materials, ensuring availability and cost control. 
  • Handle patient billing and resolve financial discrepancies to ensure accuracy in accounting. 
  • Coordinate with dental professionals to ensure all tools and equipment are available and in excellent condition for procedures. 
  • Engage with patients to gather feedback, address concerns, and foster a welcoming and caring environment. 
  • Maintain a clean and organized office environment to enhance staff productivity and patient satisfaction. 
  • Implement marketing and outreach programs to raise community awareness and expand patient base. 
  • Prepare regular reports for the head dentist detailing operational progress and any issues. 
  • Navigate software and office systems efficiently, ensuring all staff are trained and proficient in their use. 

Requirements

  • Bachelor’s degree in Business Administration, Healthcare Management, or a related field. 
  • Minimum of 5 years of experience in a dental office or healthcare facility management role. 
  • Strong leadership and team-building skills to effectively manage office staff. 
  • Excellent organizational and time management skills with the ability to multitask in a fast-paced environment. 
  • Proven track record of implementing efficient office policies and patient relationship management. 
  • Knowledge of dental industry regulations and best practices to ensure compliance and safety in the office. 
  • Proficiency in dental practice management software and MS Office. 
  • Exceptional communication and interpersonal skills, with a focus on patient care and team collaboration. 
  • Ability to handle stressful situations professionally and maintain confidentiality of patient records. 
  • Demonstrated ability to handle financial operations, including budgeting and billing. 
  • Commitment to ongoing professional development and maintaining current knowledge of healthcare administration trends.
